LAMPS

A steady lamp means a feature is activated or a line is in use. A flash means there are incoming calls. A blink means a call is on hold. A flicker means a message is waiting.

TONES

Confirmation tone is 2 beeps and means that the information you entered into the phone was accepted.

Reorder Tone is a fast busy signal and means that the information you entered into the phone was rejected.

Busy Tone is a busy signal and means that the number you called is busy.

Progress Tone is 1 beep and means that the system requests an authorization code.

RINGS

  1. (one) ring means the call is an internal call.
  2. (two) sequential rings means the call is an external call.
  3. (three) sequential rings means the call is a system priority call

VOLUME

The adjustment for ring volume is on the left side of the phone. While the phone is ringing adjust the dial to a comfortable ring volume.

RING TONE

The adjustment for ring tone is on the left side of the phone. While the phone is ringing, adjust the dial to the preferred tone. Set it different from the ring of co-workers in the same office.

SPEAKER

The adjustment for the speaker volume is a slider on the right side of the phone. Press the speaker button and adjust the volume to the preferred level.

MIC

The Mic is located in the front of the phone. It is very sensitive so speak in a normal voice. For best results, make sure the area around the Mic is clear. Do not tape notes to that area of the phone.

HANDSET VOLUME

The adjustment for the handset volume is a dial on the right side of the phone under the display window. Lift the handset and adjust the dial to a comfortable volume.

HOLD

From the conversation press the hold button. Now the lamp should be blinking and thecall is on hold.

To retrieve the call press the blinking button and continue conversation.

TRANSFER

Instructions for Transfer:

From the conversation press the transfer button (the person you were talking with is now on hold). Listen for dial tone and then enter the desired extension. The phone will ring at that extension. If someone answers, announce the transfer and then hang up.

BUSY / NO ANSWER

Instructions for busy/ no answer:

From the conversation press transfer button and listen for dial tone. Enter the phone number of the person you want to reach. If the line is busy or there is no answer hit the cancel button to return to original conversation

TRANSFER / 3-CONFERENCE CALL

From the conversation press transfer. Listen for dial tone (during this time the person you were talking to is on hold). Dial the desired extension. The phone will ring in that person's office. Announce the 3-way conference. Press transfer again and now the three parties are joined.

BUSY / NO ANSWER

Instructions for busy/ no answer:

From the conversation press transfer button and listen for dial tone. Enter the phone number of the person you want to reach. If the line is busy or there is no answer hit the cancel button to return to original conversation

CANCEL

Direct Call

To disconnect from any call while you are either in a conversation or while you are dialing a number press cancel button.

Conference Call

To use with a transfer or a conference call- from the conversation press the transfer or conference button. Listen for dial tone and enter the phone number you want to call. If the line is busy or there is no answer press the cancel button to return to original conversation.

ANSWER RELEASE

The button replaces the switchhook, press:

Answer Release to get dial tone, answer a call, or hang up.

7 WAY CONFERENCE

From the conversation press the conference button and listen for the dial tone. Press the phone number that you want to reach. Announce conference to the person. Then press the conference button again. Now three people are connected. Repeat this procedure for up to 7 people.

AUTODIAL

The autodial feature is used to store a frequently used number. This number can be either on or off campus. The autodial feature is located in the line that is either labeled autodial or left blank. Not everyone has this feature available on their phone.

To enter an autodial number:

  1. No dial tone is necessary so that the system is in set-up mode.
  2. Press the line you wish to store the autodial number.
  3. If the number is an on campus call dial the 5-digit extension.
  4. If the number is an off campus call dial 9 then the number exactly as you would normally dial.
  5. Light automatically goes out when the proper number of digits are dialed

To place a call using autodial:

  1. Pick up the handset to achieve dial tone.
  2. Press the autodial button that has stored the desired number.

CALL PICKUP

ONLY AVAILABLE IF REQUESTED

Allows a call at another phone to be answered by your phone. The phone numbers must be part of the call pickup group.

To answer: press CALL PICKUP or dial # 7

CALL FORWARD

To forward your calls lift handset and listen for dial tone. Press the call * (star key) then 3 and listen for confirmation tone, which will be 2 beeps. Dial the number to which you want to forward your call (this should only be used for on campus numbers).

CANCELING CALL FORWARD

To cancel the forward feature, lift handset and listen for dial tone. Press the # (pound) then 3 and listen for the confirmation tone, which will be 2 beeps. Hang up the handset."

INTERCOM

ONLY AVAILABLE IF REQUESTED

Instructions for using intercom:

Pick up your handset and press the intercom button on your telephone set. Dial the two digit intercom number of the individual you are trying to reach. The individual must lift their handset and press the intercom button to answer your call.

Things to know about the intercom feature:

The intercom number is the number listed on your intercom button. The individual will hear three sequential rings. The intercom feature can only be used within the department.

VOICE MAIL LIGHT

The light by the voicemail button will be flickering when a message is in your mailbox.

Press the voicemail button.

Enter your password when requested.

BUZZ / STATION STATUS

The BUZZ / STATION STATUS feature provides a direct connection between two users.

For example, a department manager and the department secretary may need to communicate often. The Buzz / Station Status feature provides communication by pressing one button from the department manager's phone to ring the secretary.

As well as providing connection between the Buzz and Status, this feature allows the Status to visually monitor the busy condition of the Buzz phone. For example when the manager with the Buzz feature picks up any line on the phone to place or receive a call, the Status light will illuminate, providing an indication that the Buzz phone is in use.

This Feature allows for a private line between a Buzz station and up to four supporting Status stations. Buzz / Station Status lines do not support the use of Do Not Disturb, Transfer, or Forward.

CALL BACK

Leave a callback on an internal busy or unanswered call; these cannot be displayed

  1. Dial extension not answered
  2. Press CALLBACK
  3. The lamp flickering on a line that has been called.

Return a callback
Extension lamplight flickering, return selected callback.

  1. Lift handset or speaker
  2. Press CALLBACK
  3. Call will be connected giving three sequential rings.

Return selected callback extension lamp light flickering

  1. Press DISPLAY, CALLBACK (lamp on)
  2. Repeat pressing CALLBACK until the number you want appears.
  3. Immediately press SPEAKER, CALLBACK
  4. Call will be connected giving three sequential rings.

Display a callback that was left for you, and the time you received it.

  1. Press DISPLAY, CALLBACK
  2. Repeat pressing CALLBACK until the number you want appears

Cancel a selected callback

  1. DISPLAY, CALLBACK (lamp on)
  2. Repeat pressing CALLBACK until the number to cancel appears.
  3. Pause to see the time and date of the CALLBACK
  4. Press Cancel.

DISPLAY

The display button shows what numbers are stored in that feature. The display button will be activated for 5 seconds and will automatically turn off if no feature button is pressed. Do not lift the handset or press the speaker button when using this feature

With Abbreviated Dial

  • Press Display
  • Press Abbreviated Dial
  • Continue pressing abbreviated dial to see all number stored.

With Autodial

  • Press Display
  • Press the Autodial button

With Call Forward

When call forward is activated:

  • Press Display
  • Press Call Forward
