 1. I need to reserve a room for a meeting – what do I do?
 A1. The answers depend on the use of the requested space. The most common are outlined below:

Faculty requests for a new classroom for an academic class; or a special meeting for an academic class:
This request would go through the department scheduler who sends the request to academic_scheduling@csueastbay.edu. The procedures are outlined in this document that can be downloaded.

Faculty requests for regular class meetings in a computer lab:
This needs to be requested when the quarterly class schedule is being built – about 2 months prior to the beginnig of a new term. This request would go through the department scheduler who sends the request to academic_scheduling@csueastbay.edu.

Faculty requests for ad hoc class meetings in a computer lab:
Submit the On-Campus online request form  - instructions can be downloaded by clicking here.

Department meetings in either conference rooms or classrooms:
Submit the On-Campus online request form  - instructions can be downloaded by clicking here.

Department meeting or training in computer labs:
Submit the On-Campus online request form  - instructions can be downloaded by clicking here.

Community member or organizations requesting to rent space:
Community groups are welcome to rent facilities at the CSUEB campus. Submit the Off-Campus online request form. Contact the Facilities Reservations and Rentals Coordinator for guidance and answers to questions. Email is the most efficient method: cecilia.grima@csueastbay.edu 

Any use of an outdoor space including Athletic facilities:
Submit the online request form. The reservations for outdoor spaces must begin with the Facilities Reservations and Rentals Coordinator.

Student organization requests for space:
The space request must begin with the Office of Student Life and Leadership.

Request for space in the University Union, or Housing and Residential Life:
Contact either Associated Students, Inc. or the office of Housing and Residential Life.

2. I am planning a conference or event and will need some technology services.
A2. Begin your process by completing the online request form. Your space must be confirmed before any IT services are coordinated.

3. I am planning a conference or event and will need some technology services – we will be using our own conference room.
A3. There are only select spaces on campus that do not need to be scheduled through the Facilities Resrvations online request form. They are:

  • President’s conference room
  • Provost’s conference room
  • A college conference room – CSCI, CEAS, CLASS, CBE
  • Academic Senate conference room – LI 2125
  • MATS - Media and Technology Services conference rooms  - LI
  • Space in the University Union or Pioneer Heights

If your event is being held in any of these spaces, you can request technology services through the Service Desk.

5. There are not enough chairs/desks in the room I am using.
A5. Submit a Facilities Management work order. If this is an academic class please report to your department scheduler who can submit the work order.

6. The posted room capacity is different than what I was told is my enrollment capacity.
A6. The official capacity for all instructional space at CSUEB is the capacity posted on the MyCSUEB online schedule of classes. Facilities Management is aware of the issue of posted signs in the rooms. You can submit a work order to report the discrepancy.

A7. Submit a Facilities Management work order. If this is an academic class please report to your department scheduler who can submit the work order.

A8. Submit the online request form. The reservations for outdoor spaces must begin with the Facilities Reservations and Rentals Coordinator.

9. I am an employee at CSUEB and want to use space on campus for a personal event – ie, party, wedding, concert, etc.
A9. Submit the Off-Campus online request form. Unfortunately there are no employee discounts for the use of space on the CSUEB property.

13. I am a student and want to reserve space for a group event?
A13. Students are not allowed to reserve university space on their own. If you belong to a certified student orgqanization, you will need to begin your process with the office of Student Life and Leadership. If the group event is directly associtaed with an academic class, then you can talk with your professor about planning the event. Another option would be to contact Associated Students Inc. about space in the University Union.

14. I am a member of a community organization and want to reserve space for a group event?
A14. Community groups are welcome to rent facilities on the CSUEB campus. Submit the Off-Campus online request form. Contact the Facilities Reservations and Rentals Coordinator for guidance and answers to questions. Email is the most efficient method: cecilia.grima@csueastbay.edu
